Club Management

clubs

The Problem:

School clubs and organizations often lack a platform for communicating with their membership, storing contact information, organizing events, collecting money, and recording obligations. As a result, the group is disjointed, membership dwindles, attendance at meetings suffers, and little is accomplished.

The AccuScholar Solution:

The Club Management module is the online hub for your school's organizations. All groups from service organizations to sports teams can use this module to facilitate communication within their club. Providing a wide range of functions, the Club Management module is the perfect solution for school groups both large and small.

Getting a group set up on the Club Management module is easy. Members can be imported from an Excel spreadsheet, they can sign up online, or they can be entered one by one. The sponsor of the group can appoint certain members to officer positions and give them special permissions within the group.

The Club Management module allows sponsors and officers to reach out to the club membership through emails and text messages. AccuScholar Interactive stores student contact information, so sponsors can breathe a sigh of relief and forget about keeping an endless list of constantly changing student email addresses. With the click of a button, sponsors can send out messages to the entire membership.

Officers of the club can create events to populate an online club calendar. Members of the club can sign up online to attend those events. Officers can even send out reminder messages to the members that have signed up for events.

Officers can also track obligations such as service hours and money points. From any computer, all members of the club have instant access to their records. This reduces confusion and increases accountability of both officers and club members. The obligations system is incredibly flexible and can be configured to meet the needs of any organization.

What People Are Saying

"The clubs tool has been invaluable for Beta Club this year. It has contributed to a much higher level of organization and participation than ever before. Members can check the website to see how many service hours they have left to do, and they can even see exactly what they have been given credit for. The secretaries can go home and enter hours instead of staying after school and recording them in the old notebook we used to use. This has saved us lots of time, and I have no doubt that we will continue to use it well into the future."

Discipline Tracker

discipline

The Problem:

Enforcing discipline is tough enough without having to worry about the time and expense of tedious and repetitious paperwork. Yet, administrators spend much of their time maintaining and dealing with paper records for disciplinary issues. Many teachers are reluctant to even report disciplinary infractions because of the hassle involved. Schools also incur considerable costs by using expensive carbonless copy paper to produce duplicates for referral and detention record-keeping.

The AccuScholar Solution:

Discipline Tracker removes the hassle of disciplinary record-keeping by allowing administrators and teachers to manage and record disciplinary issues with the click of a button. No more carbonless copy paper forms and no more tedious back-and-forth communication. Teachers report discipline issues by typing in the student's name and a description of the infraction. Notification emails are automatically sent to the appropriate assistant principal, the student's counselor, and the student's parent. Administrators can then decide to assign detentions or suspensions to the student.

When students serve detentions or suspensions, administrators simply click another button to record that the punishment has been served. A confirmation email is automatically sent out to the student, teacher, and counselor. Everything is taken care of online - there is no paper involved. Not only is this greener than using carbonless copy paper, it's dramatically cheaper too.

Student and their parents receive email updates and/or text messages about their disciplinary infractions at every step in the process. This reduces confusion, improves accountability, and increases the transparency of the disciplinary process.

Discipline Tracker is highly automated and can be configured to suit your school's exact needs. The AccuScholar Team is more than happy to assist administrators setting up Discipline Tracker for their school.

Teachers can create a referral instantly, and there's no need to fill out multiple paper forms. Teachers don't have to know the exact name, spelling, or username of the student receiving the referral. Type in the first few letters and a list of possible names shows up Teachers specify the in-class actions they've taken for this referral. The school's administrators can add or modify these as needed to suit the school.
Teachers can see the status of all referrals that they've created. The Discipline Tracker allows teachers to see a detailed summary of each referral they've created. Administrators see a detailed report of all referrals created for the entire school -- not just their own. For convenience, old served and completed referrals are hidden from view, but they can be shown at the click of a button. All referrals are perpetually archived in the Discipline Tracker.
Administrators create and assign consequences for each referral. These include detention, suspension, ISAP, STOP, or others. Administrators can customize the consequence types, and can assign multiple consequences per referral. Easily choose the date and time the consequence is due, along with how many times the student must serve it. AccuScholar Interactive can send email and text notifications for overdue consequences. Administrators can quickly record when a student has served a single consequence for a particular referral.
Administrators see a detailed summary of the referral, including the assigned consequences and how many the student has served. Administrators can see each individual time when the student has served a consequence, along with the total number necessary. Administrators can quickly record a consequence as served for a large group of students, instead of recording separately for each individual student. Ideal for after-school group detentions.
Students can see detailed information for each of their referrals, along with the student's parents. Students cannot change any referral records. Students can see how many times they've served a consequence for a referral, and how many they have remaining. Parents can also see this same information for each of their students.

Parent-Teacher Conference Scheduling

conferences

The Problem:

Scheduling parent-teacher conferences is an annual hassle that wastes teachers' time. Every year, teachers spend countless hours printing out forms, distributing them in class, trying to arrange schedules so that all parents can get conferences, and playing phone-tag with parents when there are scheduling conflicts. Furthermore, some parents might never even see the conference forms because students don't bring them home!

The AccuScholar Solution:

AccuScholar Interactive solves these problems by allowing parents to sign up for conferences online. This removes all the hassle from the process. Parents can immediately see which slots are open and choose the one they want. Teachers can then log in and print out an automatically generated schedule for the entire conference day(s), showing the parents that signed up for each slot. Teachers don't have to do anything else!

We provide a very flexible system that can accommodate conferences that span multiple days, variable timeslot length, and timeslot reservation so that teachers can reserve timeslots for certain students (or for lunch!).

Administrators see at-a-glance statistics for conference events, even those that span multiple days and times. Administrators and office clerks view and modify full conference schedules for all teachers. Teachers see their entire conference schedule. Parents sign up on their own, so there are no more papers to send back and forth. Office clerks can also schedule conferences here if parents call the school office directly.
Easily send a mass email to all parents signed up for a conference, notifying them of last-minute changes or information. Parents sign up for conferences with all teachers all at once. Unavailable times are clearly marked with an X, so parents immediately see the times they can choose from. Administrators can create unlimited sessions for a single conference event, including multiple days. They can also set a cutoff date when no new conferences can be scheduled.

What People Are Saying

"I've done conferences a million different ways - with other people setting them up (aides, office staff) or by emails/phone calls myself. But this system was easier and more time efficient than any other way. I would recommend it to ANY school!!"

Textbook Inventory Management

books

The Problem:

Students lose textbooks every year. Schools hold the students accountable for these lost books, but it's often difficult to keep track of them all using decentralized paper records. As a result, schools lose a significant portion of their textbook inventory each year.

The AccuScholar Solution:

The Textbook Management Inventory module is a centralized textbook inventory system that electronically assigns individual textbooks to students. Administrators use it to print unique barcode labels and attach them to the back of each textbook. During pre-registration for the school year, the textbooks are checked out to students based on their class schedules. The labeling and checkout process is a great opportunity for the school's PTSA volunteers to get involved.

The checkout process is very intuitive. Using a compatible USB barcode reader (available through AccuScholar), an administrator or volunteer scans the student's ID card and the barcode on the back of each textbook. The book is now checked out! At the end of the school year, books are checked back in by scanning their barcodes again. Administrators can use this module to see a master list of the textbooks that haven't been turned in and the students who still have them.

This module also makes it easy to return lost textbooks to their owners. If any staff or faculty member finds a textbook in the hallway, they can log in to AccuScholar Interactive and enter the book's barcode. The name and course schedule of the student who checked out the textbook will then appear so that the textbook can easily be returned.

Instantly scan a textbook's ISBN barcode using our provided electronic barcode reader. AccuScholar Interactive automatically looks up the textbook's details from Amazon.com's vast database. Specify how many copies of the textbook your school owns and easily organize them into purchase groups based on their price and date of purchase, all for quicker and more efficient accounting.
Use AccuScholar Interactive's Print Center to print out barcodes that will track multiple copies of the same book. AccuScholar Interactive saves you time and automatically generates PDFs with barcode labels that you can print on Avery label sheets. Check out individual textbooks just by scanning their barcode and a student's ID card.
Scan a student's ID card (or type in their username) and quickly see the books they have checked out. Scan a textbook (or type in its barcode) and immediately see who currently has it checked out. Any faculty or staff member can look up a lost textbook they find in the hallway, and there's no more guessing about who it belongs to. View a thorough textbook inventory report organized by student last name and grade. Perfect for seeing who still hasn't turned in their books at the end of the year.
Click on the name of a student in the textbook inventory list and immediately see the classes they have during the day. View a summary textbook inventory report organized by textbook title. See at a glance how many individual textbooks are checked out and how many are still available. View a detailed list of all the purchase groups and individual textbooks for a particular title.

What People Are Saying

"The textbook system seems to be working beautifully and saves a great amount of time for the class room teacher with respect to having to keep up with assigning books."
